Position Overview:

We are seeking a highly organized and proactive Office Coordinator to ensure the smooth operation of our office and support our team. As the first point of contact for all inbound communication, the Office Coordinator plays a critical role in maintaining our high standards of customer service and office efficiency. This role requires a positive attitude, excellent communication skills, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Greet and assist visitors in a professional and friendly manner, ensuring a positive first impression.
  • Maintain communication with retail entities and customers through phone, email, and in-person interactions.
  • Answer and document phone calls, relay messages to appropriate staff, and handle all phone, email, and website orders.
  • Manage the shipping and receiving of orders, ensuring timely follow-up and confirmation emails.
  • Monitor and update products on the CIEC website
  • Order and manage office supplies, ensuring the office is adequately stocked.
  • Sort and distribute incoming and outgoing mail.
  • Create forms, spreadsheets, labels, signs, and fliers as needed.
  • Assist distribution company by answering inbound calls, taking orders, and making outbound calls to customers as needed.

Qualifications:

  • Proven ability to deliver exceptional customer service.
  • Strong interpersonal skills with the ability to interact positively with store management teams and handle sensitive information with discretion.
  • Understanding of products sold by Central Iowa Vapors and inventory control policies.
  • Excellent organizational skills with the ability to multitask and manage multiple projects simultaneously.
  • Strong verbal and written communication skills.
  • Superior telephone etiquette and customer service skills.
  • Highly motivated, able to work independently and as part of a team.
